Choose the process before the AI tool
Start with work that happens frequently, follows a recognisable pattern and has a measurable cost in time, error or response delay. A process that changes every week is not a strong first automation candidate.
Use deterministic rules when rules are enough
Routing a lead based on a selected service does not need a language model. Rules are cheaper, easier to test and more predictable. Add AI where the workflow contains documents, free text, classification or drafting that cannot be handled cleanly with rules.
Map systems, data and permissions
Document what triggers the workflow, which applications are involved, what fields move between them and who is allowed to take each action. Minimum necessary access reduces operational and security risk.
Design exceptions and human approval
Every production workflow needs a plan for missing data, duplicate events, API failure and unusual cases. Consequential decisions should retain meaningful human review.
Test AI output like a changing dependency
Evaluate normal, edge and adversarial inputs. Models and providers can change, so production systems need monitoring rather than assuming one successful demo will remain reliable forever.
Calculate value before scaling
Estimate manual handling time, error cost and response delay, then subtract platform, API, model and maintenance costs. Read AI automation cost in New Zealand or the Australia guide for the cost drivers.
Build an operating model
Ownership, logs, alerting, retries, fallbacks, provider subscriptions and support responsibilities continue after launch. Automation is an operational system, not a one-time script.
Questions businesses ask
01What should a business automate first?+
Start with frequent, predictable, measurable and low-risk work such as lead routing, acknowledgements, reminders, status updates or controlled data movement.
02Do all automations need AI?+
No. Rules-based automation is often more reliable. AI is most useful where language, documents or uncertain classification add value.
03Can Kodely work with Australian businesses remotely?+
Yes. Suitable Australian automation projects can be delivered remotely from New Zealand with documented systems, access, data and support responsibilities.
